Ace Dance Studios is committed to protecting the privacy and personal information of our students, parents/caregivers, whānau, staff and wider dance community.
This Privacy Policy explains how we collect, use, store and protect personal information in accordance with the New Zealand Privacy Act 2020.
1. Collection of Personal Information
Ace Dance Studios may collect personal information when students register, enrol in classes, participate in events or communicate with our team.
This may include:
Student names, dates of birth and contact details.
Parent/caregiver names and contact information.
Emergency contact information.
Relevant medical conditions, injuries, allergies or additional support needs.
Enrolment, attendance and competition information.
Billing information, payment records and outstanding balances.

Student and financial information may be stored through secure digital systems, including Dance Studio Pro, Xero and other platforms used for studio administration.
Access to personal information is restricted to authorised staff and management members who require it to carry out their responsibilities.
Personal information will only be retained for as long as necessary for its intended purpose or as required by law, after which it will be securely deleted or disposed of.
4. Sharing of Personal Information
Ace Dance Studios will not sell personal information or share it with unrelated third parties for their own marketing purposes.
Information may be shared where reasonably necessary with:
Coaches and authorised staff for class management and student safety.
Competition and event organisers for registrations and participation.
Venues and accommodation providers where necessary for organised activities.
Accounting, payment and administration service providers.
Emergency services or medical professionals where necessary to protect someone's health or safety.
Government agencies or other parties where required or permitted by law.
Only information relevant to the intended purpose will be shared.
Some service providers may store or process information outside New Zealand. Where applicable, Ace Dance Studios will take steps to ensure overseas disclosures meet the requirements of the Privacy Act 2020.
5. Photography, Video & Social Media
Photographs and videos may be taken during classes, rehearsals, competitions, performances and studio events.
These may be used for purposes such as:
Studio social media pages.
Website content.
Promotional and advertising materials.
Celebrating student achievements.
Sharing performances and studio activities.
Ace Dance Studios will obtain appropriate consent before using identifiable student photographs or videos for promotional purposes.
Parents/caregivers and students may contact management to withdraw consent for future promotional use.
We will take reasonable steps to respect these requests, although content already published or shared by third parties may not always be fully retrievable.
6. CCTV & Studio Security
Ace Dance Studios uses CCTV surveillance in designated areas outside of the studio for security, safety and protection of students, staff, visitors and property.
CCTV footage may be reviewed when investigating security incidents, safety concerns or damage to property.
Access to footage is restricted to authorised staff and management and will only be shared where there is a lawful and appropriate reason to do so.
CCTV footage will be retained only for as long as reasonably necessary for security or investigation purposes.
7. Student Medical & Additional Support Information
Any medical, disability-related or additional support information provided to Ace Dance Studios will be treated confidentially.
This information will only be accessed or shared with staff members who reasonably require it to support the student's safety, wellbeing or participation.
Ace Dance Studios is committed to respecting the dignity, privacy and individual needs of all students.
8. Accessing & Updating Personal Information
Students and parents/caregivers may request access to their own personal information held by Ace Dance Studios, subject to applicable privacy laws.
Requests to correct or update information can be made by contacting studio management.
Parents/caregivers may also update certain contact and enrolment details through their Dance Studio Pro account.
Requests involving a child's information will be considered in accordance with the child's own privacy rights, age and circumstances.
9. Privacy Breaches & Concerns
If Ace Dance Studios becomes aware of a privacy breach, management will investigate the incident and take appropriate steps to minimise any potential harm.
Where a breach is likely to cause serious harm, Ace Dance Studios will notify the Office of the Privacy Commissioner and affected individuals as required by law.
Any concerns about the collection, use or protection of personal information should be raised directly with studio management.
